Privacy Policy
This Privacy Policy explains how Locare (Pty) Ltd (registration number 2026/670864/07) ("Locare", "we", "us") collects, uses, shares and protects your personal information when you use the Locare property-management platform, websites and mobile apps (the "Service"). We are committed to processing personal information lawfully and transparently in accordance with the Protection of Personal Information Act, 2013 (POPIA).
1. Who we are
The responsible party for the purposes of POPIA is Locare (Pty) Ltd, a private company registered in the Republic of South Africa under registration number 2026/670864/07, operating the Locare property-management platform.

2. Information we collect
- Account & contact information — name, email address, mobile number, and role (agency staff, owner, tenant, partner).
- Property & tenancy information — property, unit, lease, payment and maintenance records you or your agency enter.
- Verification documents (partners) — for partner vetting (KYC/KYB): identity/ID or passport number, company registration details, directors, proof of address and banking details, and supporting documents you upload.
- Payment information — payment references and bank account details used to collect rent or pay commissions/owners. Card details are handled by our payment providers, not stored by us.
- Usage & technical information — log data, device information and actions taken in the Service, used to operate and secure the platform.
3. How we use your information
- To provide and operate the Service (managing properties, leases, payments, maintenance and communications).
- To authenticate you (passwordless one-time codes and social sign-in) and keep your account secure.
- To vet and onboard partners (KYC/KYB) and administer commissions.
- To process payments, invoices, owner payouts and partner commissions.
- To send service messages (e.g. one-time login codes, lease and payment notifications) by email or WhatsApp.
- To comply with our legal obligations and to detect, prevent and address fraud or misuse.
4. Legal basis for processing
We process personal information where it is necessary to perform our contract with you, to comply with a legal obligation, for our legitimate interests in operating a secure and effective service, or on the basis of your consent (which you may withdraw at any time).
5. When we sign in with Google
If you choose to sign in with Google, we receive your name and email address from Google solely to authenticate you and link your account. We do not access your Google contacts, Gmail, Drive or any other Google data.
6. Sharing your information
We do not sell your personal information. We share it only with:
- Your agency (or, for tenants/owners, the agency managing your property).
- Service providers who help us run the platform — hosting, email and WhatsApp delivery, payment gateways, electronic-signature and identity-verification providers — under confidentiality obligations and only as needed.
- Authorities where required by law or to protect our rights, users or the public.
7. Security
We apply appropriate technical and organisational measures to protect personal information, including encryption in transit (TLS), encryption at rest for sensitive fields (such as ID numbers and banking details), access controls, and audit logging. No system is perfectly secure, but we work to protect your information and to notify you and the Regulator of any material breach as required by law.
8. Retention
We keep personal information only for as long as necessary for the purposes above or as required by law. For example, unsuccessful partner applications are automatically purged of personal documents after 90 days. Account and transaction records are retained for the period required by applicable financial and tax laws.
9. Your rights
Subject to applicable law, you may request access to, correction or deletion of your personal information, object to certain processing, or withdraw consent. To exercise these rights, contact privacy@locare.co.za. You also have the right to lodge a complaint with the Information Regulator (South Africa).
10. Children
The Service is intended for use by adults (18+). We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version here and revise the "Last updated" date above.
